Group registration

 

Companies and/or agencies willing to register a group of a minimum of 10 persons are required to follow the special group registration procedure.

IMPORTANT: please do NOT register group participants individually.
Smaller groups (less than 10 persons) will be handled as individual registrations.

Groups are asked to download the Group Registration Form, complete and return it directly to the Congress Secretariat by fax: +32 2 775 02 00.

Group registrations will benefit from the early rates when the payment is received before 9 April 2013, even if the list of participant names and professional details has not been finalised by that time.

The deadline to submit the final group participant list is 6 August 2013.

Please note that deadlines are at 24:00 Central European Time on the two given dates. 

For names submitted after this deadline, the difference between the initial registration rate and the desk rate will have to be settled before processing the registration.

Full names and professional addresses, including e-mail addresses of participants for group registrations are mandatory. An Excel-File for completion will be provided upon registration of a group.

Confirmation of Group Registrations

Confirmation of registrations will NOT be sent to each group participant. It is the role and responsibility of the respective group leader (company or agency) to inform each member of the group that he/she has been registered to attend the congress.

For the collection of the congress material on-site in Amsterdam three different options are offered:

  • Collection of all congress material:
    The group leader or an authorized representative will collect both congress badges and bags for the entire group and distribute it to each individual delegate (appointment-system).
  • Collection of congress badges only:
    The group leader or an authorized representative will collect the congress badges (appointment system), a voucher for the collection of the conference bag is included in each congress badge   – each individual delegate will collect his/her conference bag.
  • Individual pick-up of congress material (no representation on-site):
    The group leader will receive and distribute individualised bar code letters for each group participant (beginning of September). The bar-code letters ensure quick and easy access to the congress.

N.B.: Badges and congress material will be distributed exclusively on-site in Amsterdam.

 

Replacements and Cancellations

Replacements (= delegate name change) of confirmed registrations are subject to a charge of 95 EUR per participant.
Cancellations of confirmed registrations are subject to a charge of 125 EUR per participant provided the cancellation is received by 06 August 2013.
For cancellations received after this date no refunds will be made.
